How Clearfile handles personal information for correspondence, document organisation and software work.

Information processed

Clearfile may process names, contact details, account references, complaint references, correspondence, documents, folder names, file names, screenshots, timelines, instructions and related matter information provided by the client or relevant third parties.

Purpose

Information is used to provide administrative correspondence management, document organisation, case records, software scoping, software support, invoicing, payment administration and related record keeping.

Sharing

Information may be shared with the client, authorised representatives, creditors, service providers, complaints teams, regulators, ombudsman services, insurers, legal representatives, software support providers or other organisations where necessary for the agreed matter.

Security and retention

Clearfile should retain information only for as long as reasonably required for the service, record keeping, accounting, dispute handling and legal obligations. Clients should not send unnecessary sensitive information unless required for the agreed work.

Query form submissions

The query form uses a third-party form handling service to send enquiries to Clearfile Correspondence by email and to send the customer an automated confirmation. Do not submit passwords, security answers, full bank details, card numbers or unnecessary sensitive information through the query form.

Query form details may include the name, email address, selected query type and message entered by the person submitting the form.
